What this does
You send athletes emails in your brand voice. Your name in the From line, your logo in the header, your reply-to address, and a short intro line you write. Harmonia maintains the template underneath so the money facts, the unsubscribe link, and the deliverability stay correct on every send.
You control the voice. We keep the facts right. Your athletes hear from you, and no one has to hand-check a commission number before each send: the money lines are read from the ledger at send time.
Where this lives
Branded emails are set per program, inside program setup. Set them once and every athlete email for that program uses them.
What you customize
For each program, you set:
- Sender name: the name in the From line. Most brands use the brand name, for example "Huel Partnerships."
- Reply-to address: where athlete replies land. Point it at the inbox your partnerships team reads.
- Intro line: one short sentence at the top of each email, in your words. Optional. Leave it blank and the template stands on its own.
- Logo and accent color: uploaded once, applied to the header of every partner email for the program.
You do not edit the money lines, the legal text, or the unsubscribe link. Those are fixed so an athlete never reads a wrong commission amount or a broken footer.
What is templated
Five athlete-facing emails ship with a tested template. You brand them; the structure and the facts stay fixed.

The denial email is deliberately plain. It states the decision, makes clear it is not permanent, and points the athlete to other programs. You can add your intro line, but you cannot soften the facts into false hope.
Why the money lines are locked
The commission amount, payout figures, and the 1099-NEC line are read straight from the ledger at send time. Locking them means the number an athlete sees in their inbox is the number we pay. We issue the 1099-NEC automatically at year-end; the template says so, and you cannot accidentally edit that into something untrue.
Where your branding appears
Your brand leads the email. Harmonia is named once, where it has to be.
- From line: your sender name.
- Header: your logo and your accent color.
- Reply-to: your address; replies reach your team, not ours.
- Body: your intro line first, then the templated content.
- Footer: Harmonia named once as the platform that sends and tracks the email, plus the unsubscribe link.
The unsubscribe link sits at equal prominence in the footer, on every send. That is a legal requirement and a deliverability one, so it is not editable.
How the money facts read in your emails
Every email that touches money uses the same fixed lines, so the figures match what we actually pay.
- Commission: the athlete sees the exact amount you set for the program, a flat dollar amount or a flat percent. The athlete receives that commission in full.
- Platform fee: the 20% platform fee is billed to you, on top of the commission, and is never deducted from the athlete. Athlete emails do not show your fee; that is on your monthly invoice instead.
- Payout timing: the payout-cleared email states the amount and the date. Payouts run daily once your monthly invoice clears, with a $25 minimum; smaller balances roll forward, and we force-pay any remaining balance on December 15.
So a $50 commission means the athlete keeps $50 and your total cost is $60. The athlete email shows the $50; your invoice shows the $60.
Preview and test before you send
Set your sender, logo, and intro line, then send yourself a test before any athlete sees it. The test renders with sample data so you can check the From line, the header, and the spacing on a phone.
